I am wondering if there is a reason for the situation on this screenshot where the app loads more documents than expected (loading 5072 of 4121 documents).

The most likely explanation is that there’s a high number of conflicts on your server.
If you are running an older version of CHT, this is a known issue, which has been resolved in 4.2.0: Number of downloaded documents shown more than maximum documents while fetching · Issue #7431 · medic/cht-core · GitHub
Can you please check if indeed there are conflicts on your instance?
Another possibility is if something is pushing documents that this user should see as they are downloading them (because the “to” counter only gets queried at the start).
